Hastings Considers Village Email Policy

HASTINGS-ON-HUDSON, N.Y. – Hastings mayor Peter Swiderski revived a discussion of the proper use of village email at Tuesday’s board of trustees meeting after it fell by the wayside earlier this summer.

“It’s something we started but never finished,” Swiderski said.  “It’s something we’ve never formalized into a policy.”

Swiderski presented a draft to those in attendance of potential policies that the village would adopt for communicating back and forth with residents and with each other via email.  Swiderski said the document would be available on the village website for residents to view soon.

“It’s not going to become a law, but we’d like people to pick at it,” Swiderski said.  “I would like to hear comments on it.”

It was also encouraged that residents send all emails regarding village policies to the board email address rather than individual accounts so that they can be documented and kept on file.  Swiderski said the village was making an effort to treat all emails like formal documentation.    

Distinctions were made in the document as to what village email address could and could not be used for regarding political and personal use.  Some trustees argued the document needed to be more explicit in its explanation as to avoid any confusion.

“There does need to be some type of device drawing a bright line between official communications,” said trustee Bruce Jennings, also referencing communications between private and political use.

Swiderski said the draft will be up on the village website and he is seeking feedback from residents before making any final decisions on potential policies.
